Job Description

Our client is a well-established and respected Legal Firm in the local area, who due to continuous growth, is now looking to recruit an experienced Legal Administrator/Secretary into their Clinical Negligence and Personal Injury Team based from Leamington Spa. The purpose of the role is to provide a comprehensive administrative service within a busy department. It is essential that the successful candidate has prior experience working in a Legal Administration role, and preferable if they have had exposure within a Clinical Negligence and/or Personal Injury Team. The successful candidate will live locally to the office in Leamington spa. The role will suit a diligent and organised individual who is looking for longevity and potential development within their next role, and in return, our client will offer a close-knit, family feel environment with a supportive and flexible working culture.

Responsibilities:

  • Provide administrative and secretarial support for the Fee Earners, Head of Department and wider team.
  • Requesting cheques/paying in cheques, BACS payments and liaising with Accounts.
  • Completing and maintaining cheque spreadsheet and forecasts and providing cost updates for fee earners.
  • Picking up dictations.
  • Scanning records and paginating medical records.
  • Selecting files for monthly file reviews and sending reminders to ensure all are undertaken.
  • Making and receiving telephone calls from clients, medical experts, barristers and clerks.
  • Arranging client appointments and managing diaries as required.
  • Obtaining dates of availability and arranging conferences with counsel and experts.
  • Arranging department meetings, taking minutes and typing up notes.
  • Preparing Legal Aid requests for disbursements/profit costs.
  • Arranging and payment of courses undertaken.
  • Arranging for cost draftsman and courier to collect files.
  • Taking documents to court for issue.
  • Filing and closure of online files.
  • Dealing with post enquiries (unknown post, checking ledgers).
  • Attending to clients in reception.
  • Organise performance reviews for all staff within department in accordance with schedules.
  • Ensure stationery is ordered and at the appropriate levels within the department.

Skills & Experience:

  • 2 years’ experience working as a Legal Administrator or Secretary, ideally with exposure to a Clinical Negligence or Personal Injury department.
  • Strong communication skills, both verbal and written.
  • Excellent client care with a commercial approach and acumen.
  • Strong organisational and administration skills.
  • Excellent attention to detail.
  • Team player approach.
  • Working knowledge of Microsoft Windows and Case Management Systems (knowledge of Tiket would be advantageous).
  • Ability to work to timescales and deadlines.
