Job Description

Our client is a well-established and respected Legal Firm in the local area, who due to continuous growth, is now looking to recruit an experienced Legal Secretary into their Property Team based from Leamington Spa. The purpose of the role is to provide administrative and secretarial support to the fee-earners and wider team. It is essential that the successful candidate has prior experience working in a Residential Conveyancing or Property Department, and lived locally to the office site in Leamington Spa. The role will suit a diligent and organised individual who is looking for longevity and potential development within their next role, and in return, our client will offer a close-knit, family feel environment with a supportive and flexible working culture.

Please note: You may be required to work at the other offices of the Firm from time to time be as required by the management team, therefore a driving licence and access to your own car essential.

Responsibilities:

  • First port of call for clients who call at the office.
  • Document preparation, typing, administration and secretarial work including working with reports and court documents.
  • Use, and assist with the development of, standard template letters.
  • Receive telephone enquiries for appropriate Fee Earners, dealing personally with them wherever possible and where legal advice is not required. Where not possible to assist, take messages or transfer calls, as appropriate.
  • Maintaining client files.
  • Undertake delegated paralegal activities when required.
  • Management of diaries including the court diary and appointment diary, in addition to wider case management.
  • Collect and process receipt of cash and cheques in accordance with the appropriate procedures, for file and accounts department, giving receipts and taking copies.
  • Update files on the Case Management System.
  • Raise requisitions for petty cash and cheque processing and make a record of the transactions.
  • Attend to payment of invoices and application for payments on account using the correct form.
  • Attend Department and Firm-Wide Meetings.

Skills & Experience:

  • 12 months experience (minimum) working as a Legal Secretary for a Law Firm within a Residential Conveyancing department is essential.
  • Strong communication skills, both verbal and written.
  • Excellent client care with a commercial approach and acumen.
  • Strong organisational and administration skills.
  • Excellent attention to detail.
  • Team player approach.
  • Working knowledge of Microsoft Windows and Case Management Systems (knowledge of Tiket would be advantageous).
  • Ability to work to timescales and deadlines.
