Job Description

Our client is a well-established and respected Legal Firm in the local area looking to recruit a Legal Secretary to support their Conveyancing Solicitor. The Legal Secretary is responsible for performing administrative support to the fee-earners and team. It is essential that the successful candidate has worked as a Legal Secretary with some prior exposure to working within Conveyancing. This role would suit a diligent and highly organised individual who is looking for job stability and longevity within their next role working within a talented, supportive team.

Responsibilities:

  • Audio typing of correspondence, documents and forms.
  • Managing the internal diary for the Fee Earners.
  • Meeting clients and taking instructions.
  • Dealing with telephone enquiries and responding to all letters.
  • Handling queries raised by other service suppliers e.g. Local councils, search providers and the Land Registry.
  • Maintaining an efficient filing system.
  • Opening new files and keeping full, concise notes as to the progression of cases.
  • Liaising with the cash office concerning the archiving on the computer of completed matters.
  • Storing archived files.
  • Photocopying plans, documents, forms and other correspondence.
  • Drafting documents and witnessing signatures on legal documents.
  • To keep abreast with knowledge around the Solicitors Practice Rules and the Solicitors Accounts Rules and to ensure compliance at all times.
  • Reviewing outstanding bills and following up payment where necessary.

Skills & Experience:

  • Minimum 12 months experience working in an administrative/secretarial role within a Conveyancing department.
  • Strong organisational and administration skills.
  • Excellent communication skills – both verbal and written.
  • Confident and accurate audio typing skills.
  • Computer Literate – confident user of MS Office.
